Pricing & plans
How much does IntBooks cost?
IntBooks has four subscription tiers. The Free plan is RM 0 per month and supports one user with basic invoicing, expenses, and MyInvois submissions. The Starter plan is RM 49 per month for three users. The Professional plan is RM 129 per month for ten users and unlocks payroll, multi-currency, and the full HR module. The Enterprise plan is RM 299 per month for unlimited users and includes API access, custom integrations, priority support, and a dedicated account manager. All plans include LHDN MyInvois at no extra charge.

Is there a free trial?
Yes. Every paid plan includes a 14-day free trial with no credit card required. You can also stay on the Free plan indefinitely if you only need basic features for one user. There is no time limit on the Free plan and no forced upgrade prompts.
Do you charge per user?
No. IntBooks is priced per organization, not per user. Every plan includes a fixed user allowance (1, 3, 10, or unlimited respectively) and adding a user within your allowance is free. The Enterprise plan supports unlimited users so you never have to count seats.
Can I switch plans later?
Yes. You can upgrade or downgrade at any time from Settings → Billing. Upgrades take effect immediately and we prorate the difference for the rest of your current billing period. Downgrades take effect at the start of the next billing cycle so you don't lose access mid-month. There are no cancellation fees and you can cancel entirely at any time.

Compliance & taxes
Does IntBooks support LHDN MyInvois e-invoicing?
Yes. MyInvois is built into every IntBooks plan, including the Free plan, at no extra cost. You can submit individual invoices, credit notes, debit notes, and refund notes to LHDN directly from the invoice screen with a single click. IntBooks signs every document with your private key, retrieves the LHDN UIN, generates the QR code, and stores the entire submission audit trail. The full 55-field UBL 2.1 schema is supported.

Can IntBooks generate the SST-02 return?
Yes. IntBooks generates a complete RMCD-compliant SST-02 service tax return in under two seconds for organizations with under 10,000 invoices per period. The system pulls every taxable service supply from the period, categorizes it by service code, applies the correct rate (6 or 8%), and produces a populated form covering all 14 sections. You can review every value, drill down to the underlying invoices, manually adjust adjustments and exempt supplies, and submit directly to RMCD's MyTAX API. The return is then locked and posted to your General Ledger as a payable to RMCD.

Does IntBooks handle Malaysian payroll statutory contributions?
Yes. Every payroll run automatically calculates EPF (employer 12-13%, employee 11%), SOCSO (graduated wage scale), EIS (0.2% each), and HRDF levy (0.5-1% for covered employers). IntBooks generates the i-Akaun (EPF), Borang 8A (EIS), Borang 2/3 (SOCSO), and HRDF e-Disbursement files in the formats accepted by each agency. You can submit them through the official portals or hand them to your HR outsourcer. The same payroll run also produces the EA Form for each employee at year-end.
Is IntBooks MFRS or MPERS compliant?
Both. IntBooks ships with industry-specific Malaysian default charts of accounts in both MFRS and MPERS variants. You choose during onboarding which framework fits your business — most Sdn Bhd companies that are not publicly accountable use MPERS, while listed companies, banks, and large groups use the full MFRS. You can switch between them later but it requires a re-mapping of your existing accounts so we recommend choosing carefully at setup.
Migration & data import
Can I import my existing data from SQL Account or AutoCount?
Yes. IntBooks has a built-in import wizard that handles CSV exports from SQL Account, AutoCount, Xero, and most spreadsheet formats. You upload your customers, suppliers, products, chart of accounts, and historical transactions, and the wizard handles column mapping automatically for the major Malaysian accounting tools. Total migration time for a typical SME is 1 to 3 days of effort spread over 2 to 4 weeks of parallel running with your old system.

Will my opening balances reconcile after import?
Yes — the import wizard validates that debit and credit totals balance before accepting your opening balances. If they don't balance, the wizard rejects the import and points to the specific accounts that are out. We recommend running both systems in parallel for one full month after import so you can compare the resulting financial statements line by line. Our migration team helps for free if you're moving from any major Malaysian accounting tool.
Can I export my data out of IntBooks if I leave?
Yes. There is no vendor lock-in. You can export every record (invoices, bills, payments, customers, suppliers, products, chart of accounts, ledger transactions) to CSV at any time from Settings → Data Export. Larger organizations on the Enterprise plan can also pull data via the REST API. Your data is yours — we are required to delete it within 30 days of you closing your account under PDPA.
Security & data
Where is my data stored?
Your data lives in PostgreSQL databases hosted in the European Union (Hetzner Falkenstein) with daily encrypted backups to Cloudflare R2. Application servers run in Frankfurt and Singapore for low-latency access from Malaysia. We do not use any third-party data warehouses, no analytics SaaS that scrapes your records, and no ad networks. All data is encrypted at rest with AES-256 and in transit with TLS 1.3.
Is IntBooks PDPA compliant?
Yes. IntBooks is registered with the Malaysian Personal Data Protection Commissioner. We comply with the 2024 PDPA amendments including the 72-hour breach notification requirement, the Data Protection Officer designation for large data controllers, and the Data Subject Access Request workflow. Our Data Processing Agreement is available on request from hello@intbooks.my.
Who can see my company's data?
Only people you explicitly invite to your IntBooks organization. Every database query is filtered by organization ID at the row level (Postgres Row Level Security) so it is technically impossible for one organization to see another's data. IntBooks staff can only access your data with your explicit consent through a time-boxed support session, and every access is logged and surfaced to you in the audit trail. We never use customer data to train AI models.
How often is my data backed up?
Continuously. Every write to your database is replicated to a hot standby in real time, and a full encrypted snapshot is taken every 24 hours and retained for 35 days. Quarterly snapshots are retained for 7 years to satisfy LHDN's audit retention requirement. Backups are stored in a separate geographic region and we run a documented restore drill every month.
Features & integrations
Does IntBooks have a mobile app?
Yes. Native apps for iOS and Android cover the most common workflows: receipt capture with AI extraction, invoice creation, expense submission, leave requests, payroll approval, and dashboard charts. The full ERP is also accessible from any mobile browser, so you can do everything from a phone if you don't want to install the apps.
Can I connect my Malaysian bank account?
Yes. IntBooks supports direct bank feeds from Maybank, CIMB, Public Bank, RHB, Hong Leong, Bank Islam, Ambank, and OCBC. Bank statements import overnight and automatically match against existing invoices and bills. For banks without direct feed support, you can upload MT940 or CSV statements and the same matching engine still applies. DuitNow QR codes can be generated on every invoice so customers pay you instantly through their banking app.
Does IntBooks integrate with Shopify or WooCommerce?
Yes. The IntBooks Integrations module ships with native connectors for Shopify, WooCommerce, Lazada, and Shopee. Sales orders flow into IntBooks, inventory levels stay in sync, and revenue is recognized into the General Ledger automatically. Customer-facing invoices are generated and submitted to MyInvois without manual intervention. The full list of supported integrations is on our integrations page.
Can I use IntBooks for inventory management?
Yes. The Inventory module supports multi-warehouse stock tracking, stock movements, inventory adjustments, manufacturing bills of materials, and weighted-average costing. Stock movements post automatically to the General Ledger so your books and inventory ledger never drift. Reorder points trigger purchase order suggestions, and barcode scanning is supported through the mobile app.
Getting started & support
How long does it take to get set up?
Most Malaysian SMEs are live within an hour. Sign up creates your organization, the onboarding wizard walks you through company details, chart of accounts selection (industry-specific Malaysian templates), tax registration (SST and MyInvois), and inviting your team. By the time you reach the dashboard you can already issue an invoice and submit it to LHDN. Migrating historical data from another system takes longer — typically 1 to 3 days of effort.

What support do I get?
Every plan includes email support with a target response time of 24 hours on business days. The Professional plan adds in-app chat support during Malaysian business hours. The Enterprise plan adds priority queueing, a dedicated account manager, and a 1-hour response SLA for production-impacting issues. Self-service support through the Help Center, documentation, and our public roadmap is free for everyone.
Do you offer training or onboarding services?
Yes. Free onboarding webinars run weekly in English and Bahasa Malaysia and cover the standard setup workflow, MyInvois activation, and your first month-end close. Paid one-on-one onboarding with a Malaysian-based accountant is available from RM 500 (4 hours) and includes data migration assistance. Enterprise plan customers get dedicated onboarding included.

How does outsourced bookkeeping with IntBooks work?
You grant our bookkeeping team access to your IntBooks organization. We reconcile your bank feeds, process invoices and bills, maintain your general ledger, and deliver monthly management reports — P&L, balance sheet, and cash flow — by the 15th of the following month. You see every entry in real time because we work inside your own IntBooks account, not a separate system.

How much does outsourced bookkeeping cost in Malaysia?
Pricing depends on your monthly transaction volume. For SMEs with up to 300 transactions per month, outsourced bookkeeping typically costs between RM 800 and RM 2,000 per month — significantly less than hiring a full-time bookkeeper (RM 3,000–5,000 salary plus EPF, SOCSO, and office costs). Will I lose visibility of my books if I outsource?
No — the opposite. Because our team works inside your IntBooks account, you have real-time access to every transaction, reconciliation, and report. You can log in at any time and see your P&L, aged receivables, and bank balances. There is no handoff of spreadsheets or waiting for month-end files.
Can you handle bookkeeping for multiple entities?
Yes. Our Mid-Market package supports multi-entity bookkeeping with intercompany eliminations. Each entity gets its own IntBooks organization, and we prepare a consolidated view for group-level reporting. This is common for Malaysian holding structures with multiple Sdn Bhd subsidiaries.

Do you file the SST-02 return or just prepare it?
We file it. Our tax agents submit the SST-02 directly to RMCD's MyTAX portal on your behalf, using data extracted from your IntBooks ledger. You review and approve the return before we submit. We also retain the confirmation receipt and attach it to your IntBooks records for audit trail purposes.

Are your tax agents registered with LHDN?
Yes. All our tax professionals are licensed tax agents registered with the Malaysian Institute of Accountants (MIA) and approved by LHDN under Section 153 of the Income Tax Act 1967. Your Form C and CP204 are signed by a licensed agent, which is a legal requirement for Malaysian corporate tax returns.

What happens if LHDN queries my tax return?
We handle all LHDN correspondence on your behalf. Our SME package includes correspondence handling for routine queries. The Mid-Market package includes full audit defence with representation — our tax agent attends LHDN meetings with you and prepares all supporting documentation from your IntBooks records.
Can you help with transfer pricing documentation?
Yes, under our Mid-Market tax package. Malaysian companies with related-party transactions exceeding the thresholds set by LHDN must maintain contemporaneous transfer pricing documentation. We prepare the TP documentation, benchmark analysis, and Master File in compliance with Malaysian transfer pricing rules.

Does every Sdn Bhd need a statutory audit?
Not every Sdn Bhd. Under the Companies Act 2016, an exempt private company (revenue under RM 100,000, no corporate shareholders, 20 or fewer shareholders, all of whom are natural persons) may qualify for audit exemption and can instead file a compilation report. We help you determine which category you fall into and provide the appropriate engagement.

How does the IntBooks-integrated audit work?
Instead of sending spreadsheets and PDFs back and forth, you grant our audit team read-only access to your IntBooks organization. The auditors pull trial balances, bank reconciliations, transaction samples, and aged schedules directly from IntBooks. This eliminates the traditional PBC (prepared by client) list and typically cuts audit fieldwork time by 40 to 60%.

Is the audit firm independent from IntBooks?
Yes. The statutory audit is performed by an independent registered audit firm approved by the Audit Oversight Board (AOB). IntBooks provides the technology platform and facilitates the data access, but has no influence over the audit opinion. Independence is maintained in accordance with the By-Laws of the Malaysian Institute of Accountants.
How long does a typical audit take?
For an SME with clean books maintained in IntBooks, the audit typically takes 2 to 4 weeks from fieldwork to signing. Groups with multiple entities or complex transactions may take 6 to 8 weeks. Our Mid-Market package offers priority scheduling so you can have your signed report within 60 days of your financial year-end.

Is a company secretary mandatory in Malaysia?
Yes. Under Section 235 of the Companies Act 2016, every Malaysian company must appoint at least one company secretary who is a natural person, at least 18 years old, a Malaysian citizen or permanent resident, and a member of a prescribed professional body (MIA, MAICSA, etc.) or licensed by SSM. The appointment must be made within 30 days of incorporation.

What does a company secretary actually do?
A company secretary ensures your company complies with the Companies Act 2016 and SSM requirements. Day-to-day, this means filing the annual return, maintaining statutory registers (members, directors, charges), preparing board and shareholder resolutions, coordinating the AGM, and processing changes of particulars (new directors, address changes, share transfers). They are also the primary liaison with SSM.

Can I use your registered office address?
Yes. Both our SME and Mid-Market company secretary packages include a registered office address in Kuala Lumpur. Under the Companies Act, every Malaysian company must have a registered office where statutory documents can be served. Using our address means you don't need to maintain a separate physical office purely for compliance purposes.
What happens if I miss the annual return deadline?
SSM imposes a late lodgement penalty that increases the longer you delay. For a Sdn Bhd, the annual return is due within 30 days of the anniversary of incorporation. Missing the deadline can also trigger SSM enforcement action and, in severe cases, striking-off proceedings. Our compliance calendar ensures you never miss it.

We calculate and prepare submission files for all Malaysian statutory deductions: EPF (employer 12-13%, employee 11%), SOCSO (graduated wage scale), EIS (0.2% each), HRDF levy (0.5-1% for covered employers), and PCB monthly tax deduction. We also generate the year-end EA Form for every employee.

How do employees receive their payslips?
Payslips are distributed through IntBooks Employee Self-Service (ESS). Each employee logs into their ESS portal to view and download payslips, check leave balances, and submit claims. There is no paper payslip printing or manual email distribution required.

Can you handle expatriate payroll?
Yes, under our Mid-Market package. Expatriate payroll includes tax equalization calculations, shadow payroll processing, and coordination with the home-country payroll where needed. We also handle the EP/PVP work permit compliance checks that affect statutory contribution rates for foreign employees in Malaysia.
What is the cut-off date for monthly payroll inputs?
We agree on a cut-off date during onboarding — typically the 20th of each month. You submit attendance, overtime, commissions, and ad-hoc adjustments by the cut-off. We process the run within 3 working days, present it for your approval, and release payment files on your scheduled pay date.

When is my business required to use MyInvois?
LHDN is rolling out MyInvois in phases based on annual turnover. Businesses with revenue above RM 100 million were required from August 2024. Businesses above RM 25 million from January 2025. All remaining businesses must comply by July 2025. If you haven't started, our compliance team can get you set up in as little as 5 working days.

Can you migrate my data from SQL Account or AutoCount?
Yes. Our e-invoice compliance package includes data migration from all major Malaysian accounting systems — SQL Account, AutoCount, Xero, MYOB, and UBS. We map your existing customer, supplier, and product master data to IntBooks, import historical transactions for the current financial year, and validate the mapping before go-live.

What if my e-invoices get rejected by LHDN?
Rejections happen — the most common causes are incorrect TIN, wrong MSIC code, invalid UBL field values, and document date outside the 72-hour window. Our compliance team troubleshoots every rejection, corrects the data in IntBooks, and resubmits. During the post-go-live support period (30 or 60 days depending on your package), this is included at no extra cost.

Do I still need IntBooks after the migration is done?
Yes — IntBooks becomes your ongoing e-invoicing platform. Every new invoice you issue is submitted to MyInvois automatically through IntBooks. The compliance package is a one-time setup engagement; IntBooks is the long-term system you use to issue, submit, and manage all your e-invoices going forward.
