Terms of Service

These Terms of Service ("Terms") govern your access to and use of the IntBooks website at https://intbooks.my and the IntBooks ERP application at https://app.intbooks.my (together, the "Service"), provided by IntBooks Sdn Bhd ("IntBooks", "we"). By creating an account or using the Service you agree to these Terms.
1. The Service
IntBooks is a multi-tenant cloud ERP platform offering accounting, e-invoicing, HR, inventory, point-of-sale, and compliance modules for Malaysian businesses. Feature availability depends on your subscription plan; the current scope is described at https://intbooks.my /#pricing.
2. Account
- You must be at least 18 and authorised to bind the organisation you register.
- You are responsible for the security of your credentials and for all activity under your account, including activity by team members you invite.
- One account per organisation. Sharing a single account across multiple legal entities is not permitted; create separate organisations instead.
3. Subscription, fees & renewal
- Free plans remain free for the included scope. Paid plans are billed monthly or annually in advance via Stripe or BillPlz.
- All prices are stated in Malaysian Ringgit (RM) and exclude SST unless noted.
- Subscriptions auto-renew until cancelled. You may cancel at any time from Settings → Billing; the cancellation takes effect at the end of the current paid period.
- We may change pricing with at least 30 days' notice. The new price applies on your next renewal.
4. Refunds
Monthly fees are non-refundable. Annual subscriptions cancelled within 14 days of first payment are refundable pro-rata. We issue refunds to the original payment method within 10 business days.
5. Acceptable Use Policy
You agree not to:
- Use the Service to break Malaysian law (including the Income Tax Act 1967, Companies Act 2016, AMLA 2001, and PDPA 2010).
- Upload malware, attempt to circumvent rate limits, or probe for vulnerabilities outside our responsible-disclosure programme.
- Resell or sub-licence the Service without a written reseller agreement.
- Use the AI features to generate financial statements or tax returns without human review by a Malaysian-qualified accountant where the law requires one.
We may suspend accounts that breach this section. We will give 7 days' notice and an opportunity to cure where the breach is curable.
6. Your data & data processing
- You retain ownership of all business data you upload.
- We process your data only to operate the Service and to comply with Malaysian law (e.g. forwarding e-invoices to LHDN MyInvois). See our Privacy Policy and Sub-Processors page for details.
- You may export every module to CSV or JSON at any time. Upon termination we retain accounting records for the statutory period (7 years) before secure deletion.
- Customers on Professional and Enterprise plans may request a signed Data Processing Agreement (DPA) incorporating the EU Standard Contractual Clauses where required. Email hello@intbooks.my.
7. AI features
Receipt extraction, transaction categorisation, and the in-app assistant use third-party large-language-model providers (currently Anthropic). Outputs are statistical and may contain errors — review AI-generated entries before posting to the ledger or filing returns. We do not permit our LLM providers to train on your inputs.
8. Service level & availability
We target 99.5% monthly uptime for the Service, excluding scheduled maintenance windows (notified at least 48 hours in advance) and force majeure events. Sustained breaches on Professional and Enterprise plans qualify for service credits under the table below.

Credits are capped at the affected month's fee, are issued only after written request within 30 days of the incident, and apply to the next invoice. Credits are not redeemable for cash.
9. Intellectual property
IntBooks, the IntBooks marks, and all software, designs, and documentation are the property of IntBooks Sdn Bhd. You receive a non-exclusive, non-transferable licence to use the Service for the duration of your subscription. You receive no rights to the source code.
10. Third-party services
The Service integrates with third-party providers (Stripe, BillPlz, LHDN MyInvois, EPF i-Akaun, Maybank, CIMB, Resend, Cloudflare, Clerk, Anthropic). We are not responsible for outages or feature changes in those providers. Where a regulator-mandated provider (e.g. LHDN) is offline, the affected statutory submission is paused until the provider returns to service.
11. Disclaimers
The Service is provided "as is" without warranty of any kind. We do not warrant that the Service will be uninterrupted or error-free, or that the AI features will produce accurate output in every case. Nothing in these Terms excludes or limits liability that cannot lawfully be limited under Malaysian law (including liability for fraud or for death or personal injury caused by negligence).
12. Limitation of liability
To the maximum extent permitted by law, our aggregate liability under these Terms is limited to the fees paid by you in the 12 months preceding the event giving rise to the claim. We are not liable for indirect, incidental, or consequential damages, lost profits, or lost data, except where caused by our wilful misconduct or gross negligence.
13. Termination
- You may terminate at any time from Settings → Billing.
- We may terminate for material breach with 30 days' written notice (7 days for security or acceptable-use breaches).
- Termination does not refund pre-paid fees except where these Terms require it.
14. Governing law & disputes
These Terms are governed by the laws of Malaysia. The courts of Kuala Lumpur have exclusive jurisdiction over any dispute arising under these Terms, save that we may seek urgent injunctive relief in any competent court.
15. Changes
We may update these Terms. Material changes are notified to account admins by email at least 30 days before the change takes effect. Your continued use of the Service after the effective date constitutes acceptance.
