Tuition Centre & Education Accounting Software (Malaysia)

Enrolment to invoice, term to GL. Built for Malaysian tuition centres and training schools.

Tuition centres and training schools juggle student enrolments, class timetables, tutor payouts, and term-based revenue recognition — usually across multiple branches. IntBooks ships a purpose-built education module on top of a clean accounting core that handles MyInvois, EPF/SOCSO for tutors, and SSM compliance.

Why generic accounting software fails education businesses

The education accounting problems we hear every week

  • Student billing is a spreadsheet nightmare

Different fees per programme, per term, per discount tier — kept in Excel and emailed to parents. Errors and missed invoices cost real revenue.

  • Tutor payouts can't tie to actual classes taught

Tutors paid per class, per hour, or per student need a clean record of taught vs scheduled. Spreadsheets get this wrong; tutors raise disputes.

  • Term-based revenue isn't recognised correctly

Fees prepaid for a 12-week term should recognise as revenue over the term, not on invoice date. Without deferred revenue, your P&L lies.

  • Multi-branch consolidation eats principals' time

Each branch sends a spreadsheet. The principal rebuilds the group P&L every month — and the audit firm rebuilds it again at year-end.

Built for education

Purpose-built modules — not generic accounting

  • Student enrolment & class management

Manage student records, class schedules, attendance, and parent contacts. Link every fee to an enrolment record.

  • Term-based billing & recurring fees

Bill termly, monthly, or per-session. Discounts, sibling rates, scholarships, and FOC all handled cleanly. Deferred revenue recognised over the term.

  • Tutor payouts tied to taught classes

Tutors paid per class, per hour, or per student headcount. Payouts auto-calculate from the attendance and class schedule. Full audit trail.

  • Class schedule & attendance

Manage class timetables, attendance registers, and substitute tutor assignments. Attendance drives tutor payout and parent reporting.

  • Multi-branch consolidation

Each branch runs as its own P&L unit. Roll up consolidated financials at the brand or group level with full inter-branch eliminations.

  • MyInvois B2C consolidated submission

Student/parent fees submit as consolidated monthly e-invoice per LHDN guidelines. Corporate sponsors and B2B clients get real-time B2B e-invoices.

How it works

From setup to month-end close

  1. 1

Set up programmes & fee structures

Configure each programme, term schedule, fee tier, and discount rule. Add your tutors and define their payout rates.

  2. 2

    Enrol students, bill termly

Enrol students into classes; system auto-generates term invoices. Parents pay via FPX, card, or bank transfer.

  3. 3

    Track attendance, pay tutors

Tutors mark attendance per class. Payout calculations run automatically; payroll handles EPF, SOCSO, EIS for full-time tutors and self-employed tax for freelancers.

  4. 4

    Close the month with confidence

Deferred revenue, tutor payouts, multi-branch P&L, and MyInvois consolidated submission all closed together.

Education FAQ

How does IntBooks handle prepaid term fees and deferred revenue?
When a student is billed for a term in advance, the cash goes to a Deferred Revenue liability account. Each week (or month, depending on your config), a portion of the deferred revenue recognises as earned revenue. This matches your P&L to when the teaching actually happens.
Can tutors be paid per class, per hour, or per student?
Yes. Each tutor's payout rule can be a flat per-class rate, an hourly rate based on attendance, a per-student rate (e.g., RM10 per student per session), or a hybrid. Calculations run automatically from the attendance register.
Do parents get an e-invoice for monthly tuition fees?
Yes, but as part of a consolidated monthly e-invoice submitted to MyInvois (per LHDN's B2C guideline). Parents receive a payment receipt immediately; the consolidated e-invoice is submitted to LHDN on day 7 of the following month.
Can IntBooks handle HRD Corp claimable training programmes?
Yes. Corporate sponsors with HRD Corp registration can be invoiced as B2B clients with real-time MyInvois submission. The invoice references the HRD Corp grant claim and supports HRD Corp documentation requirements.
