Create Your First Invoice

Step-by-step walkthrough for creating, validating, and sending your first invoice in IntBooks. Covers customer setup, SST classification, MyInvois submission, and customer delivery.

Creating an invoice in IntBooks takes about 90 seconds once your organization is set up. This walkthrough covers the full flow including the steps that trip up new users — SST classification, MyInvois submission, and customer delivery.

Prerequisites

  • Your organization is set up — see Getting Started if you haven’t done this yet
  • At least one chart of accounts is selected
  • If you’re SST-registered, your SST registration number is entered in Settings → Compliance
  • If you’re using MyInvois, the MyInvois connection is active in Settings → Compliance

Step 1: Create or select a customer

Every invoice needs a customer record. You can create the customer inline while creating the invoice, or you can pre-create them under AR → Customers.

For a new customer, you need:

  • Legal name — for B2B customers, this must match their SSM record exactly
  • TIN — required for B2B (Sdn Bhd, Berhad, LLP). For B2C use the generic consumer TIN EI00000000010
  • Address — required for B2B
  • MSIC code — required for B2B if the customer is also a business
  • Email address — for sending the invoice PDF
  • Default currency — defaults to MYR

The system validates the TIN format and warns you if it doesn’t match the expected pattern. It does NOT validate the TIN against LHDN’s database at this stage — that validation happens at MyInvois submission time, so a typo here will surface as a rejection later.

Step 2: Start a new invoice

Go to AR → Invoices → New Invoice. The invoice form opens with these top-level fields pre-populated:

  • Invoice number — auto-generated from your document sequence
  • Issue date — today’s date in your organization’s timezone
  • Due date — calculated from your default payment terms
  • Currency — your organization default (typically MYR)

Pick the customer from the dropdown or click + Create New Customer to add one inline.

Step 3: Add line items

Click Add Line Item and fill in:

  • Description — what you’re invoicing for
  • Quantity — how many units
  • Unit price — price per unit (excluding tax)
  • Account — the GL revenue account this maps to (defaults to your primary sales account)
  • Tax classification — see the next section

Repeat for each line. You can drag rows to reorder them.

Step 4: Pick the right SST classification

If you’re SST-registered, every line item must have an SST classification. IntBooks uses the official RMCD classification codes:

  • Standard rated 6% — most general services (consultancy, IT, marketing, repairs)
  • Standard rated 8% — telecommunications, hospitality, recreation, parking, electricity
  • Zero rated — exports of services, certain digital exports
  • Exempted — financial services, education, healthcare, residential property
  • Out of scope — non-taxable transactions

Pick the right one for each line. The system applies the rate automatically and posts the calculated tax to the SST liability account on save.

If you’re not SST-registered, set every line to Out of scope — your invoices will not show tax lines.

Step 5: Review the totals

The invoice footer shows the calculated totals:

  • Subtotal — sum of line items before tax
  • SST — calculated tax (rate × subtotal of taxable lines)
  • Total — subtotal + SST
  • Amount due — total minus any prepayment credits applied

Double-check the totals before saving. Once an invoice is submitted to MyInvois it cannot be edited — you have to issue a credit note to correct it.

Step 6: Save and submit

You have three save options:

  1. Save Draft — saves the invoice but does not commit to your books or submit to MyInvois. Useful for invoices you want to review later.
  2. Save — commits to your books (posts to the General Ledger) but does NOT submit to MyInvois. Useful when MyInvois is unavailable.
  3. Save & Submit to MyInvois — commits to your books AND submits to LHDN in one action. The button shows a spinner while the submission is in progress (typically 1 to 3 seconds).

For most users, Save & Submit to MyInvois is the right choice.

Step 7: Verify the MyInvois UIN

After submission you’ll see one of three outcomes:

  • Green checkmark with UIN — LHDN accepted the document and assigned a Unique Identification Number. The UIN appears at the top of the invoice and the QR code is embedded in the PDF.
  • Yellow pending — LHDN is processing the submission. This usually clears within 30 seconds. IntBooks polls automatically and refreshes the page when LHDN responds.
  • Red rejected — LHDN rejected the submission. The error message and field path appear on the invoice. Common causes: invalid TIN, missing MSIC code, SST classification mismatch.

If rejected, fix the underlying issue, then click Resubmit to MyInvois. The system will not issue a new invoice number — the same number is re-submitted with the corrections.

Step 8: Send to the customer

Once the green checkmark appears, click Send to Customer. The system:

  1. Generates a PDF with your company logo, invoice details, line items, totals, payment instructions, the MyInvois UIN, and the QR code.
  2. Attaches the PDF to an email addressed to the customer’s primary contact email.
  3. Includes a payment link if you’ve enabled FPX/BillPlz collection in Settings → Payments.
  4. Logs the send event so you can see in the timeline who received it and when.

The customer can pay directly from the email by tapping the FPX or DuitNow QR code, no login required.
