Getting Started with IntBooks

A 30-minute setup guide for new IntBooks accounts — sign up, configure your organization, pick a chart of accounts, register for MyInvois, and invite your team.

This article walks you through the first 30 minutes after you sign up for IntBooks. By the end you’ll have a fully configured Malaysian organization, an industry-specific chart of accounts, an SST registration record, an active MyInvois connection, and at least one teammate invited.

Before you start

Have these items ready — they’re all required by Malaysian regulators and the onboarding wizard will ask for them:

  1. Your SSM number (12-digit company registration number from SSM)
  2. Your LHDN TIN (10 to 12-digit Tax Identification Number, starts with C for Sdn Bhd)
  3. Your MSIC code (5-digit industry classification — see DOSM MSIC)
  4. Your SST registration number (if you’re SST-registered — leave blank if not)
  5. Your company bank account details for invoice payment instructions
  6. A company logo (PNG or JPG, max 2 MB) — optional but recommended for invoices

Step 1: Sign up

  1. Go to the pricing page and click Start Free on the plan that fits your team size.
  2. Enter your name, work email, and a strong password. Or sign up with Google or Microsoft if your work account uses one of those.
  3. Confirm your email address by clicking the link sent to your inbox.

Step 2: Create your organization

After signing in for the first time, you’ll see the organization onboarding wizard. Fill in:

  • Legal name (must match your SSM record)
  • Trading name (the name you put on customer-facing invoices, if different from the legal name)
  • SSM number
  • TIN
  • MSIC code (the wizard auto-suggests based on your industry selection)
  • Registered address (must match your SSM record)
  • Default currency (MYR for Malaysian businesses)

The wizard validates the SSM number format and will warn you if it doesn’t match the expected pattern.

Step 3: Pick a chart of accounts

IntBooks ships with industry-specific Malaysian chart of accounts templates in both MFRS and MPERS variants. Most Sdn Bhd companies that are not publicly accountable use MPERS — pick MFRS only if you’re a listed company, a financial institution, or part of a large group with public accountability.

The available templates:

  • Services (consultancy, agencies, IT services)
  • Trading (wholesale, distribution, import/export)
  • Manufacturing (factories, food processing, OEM)
  • Retail (shops, F&B, e-commerce)
  • Professional Services (legal, accounting, architecture)
  • Construction (contractors, developers)
  • Property (rental, management, brokerage)

Each template comes with the right tax-coded accounts already set up for SST-02 reporting. You can rename, add, or remove individual accounts later from Accounting → Chart of Accounts.

Step 4: Register for MyInvois (if applicable)

If your annual turnover is above the LHDN threshold (currently RM 150,000), MyInvois e-invoicing is mandatory. The setup takes about 10 minutes:

  1. Navigate to Settings → Compliance → MyInvois.
  2. Click Connect to MyInvois.
  3. Sign in to LHDN with your taxpayer credentials when redirected.
  4. Authorize IntBooks to submit documents on your behalf.
  5. Generate or upload your digital certificate (the .p12 file LHDN issued during your taxpayer onboarding).

You’re now connected. Every invoice you create from this point forward will have a Submit to MyInvois button on the invoice screen. See the MyInvois integration docs for the full configuration reference.

Step 5: Add your bank accounts

Go to Banking → Bank Accounts → Add Account. For each account:

  1. Pick your bank from the dropdown (we support direct feeds for the 8 largest Malaysian banks).
  2. Enter the account number and account name.
  3. Authorize the bank feed connection if available (you’ll be redirected to your bank’s authentication portal).
  4. Set the account as the default deposit account if it’s where customer payments land.

For banks without direct feed support, you can upload MT940 or CSV statements manually via Banking → Import Statements.

Step 6: Invite your team

Go to Settings → Team → Invite Member. Enter each teammate’s email and assign a role:

  • Owner — full administrative access. Reserve this for company directors and partners.
  • Finance Manager — full accounting access but no team management.
  • Accountant — can create and edit invoices, bills, and journal entries.
  • Sales — can create invoices and quotations only.
  • Operator — can view assigned modules but cannot edit financial records.
  • View Only — read-only access, useful for auditors and external advisors.

Invitations expire after 7 days. The invitee receives an email with a sign-up link that pre-fills your organization. They confirm their own email address before they can sign in.

Step 7: Issue your first invoice

You’re done with setup — let’s prove it works.

  1. Go to AR → Invoices → New Invoice.
  2. Select or create a customer. For B2B, enter their TIN — for B2C use the generic consumer TIN EI00000000010.
  3. Add at least one line item with a description, quantity, and unit price.
  4. Pick the right SST classification from the dropdown if you’re SST-registered.
  5. Click Save & Submit to MyInvois (or just Save if you’re not on MyInvois yet).
  6. Wait for the green checkmark that confirms LHDN has accepted the document and assigned a UIN.
  7. Click Send to Customer to email a PDF copy with the QR code embedded.

Total time, end to end: about 90 seconds.
